| Duties | BASIC FUNCTION OF POSITION: Coordinates Embassy-wide Contact Relationship Management database, liaising with sections/agencies to ensure updates and serving as a specialist, trainer, and reference resource, customizing, populating, and verifying the CRM database; and creating and conducting post-specific user training. Under guidance and direction from the Senior Protocol Assistant, incumbent performs duties associated with the functions of the Protocol Office, Contacts Database, Gifts and Ceremonial Duties. Works as a back-up to the Senior Protocol Assistant. Under the direction of the Senior Protocol Assistant coordinates data entry for the Contact Relationship Management database including updates, revisions, for all individual contact listings, social invitations received, and events hosted by the Ambassador (or Chargé) and the DCM. Setting up tables appropriately to post's needs and the host's country's structure; the initial entering of contacts, reconciling section/agency overlaps, deleting duplicates; and advocating to and training of sufficient section/agency admin staff. On direction, prepares analyses of Contacts Database records for the preparation of reports based on event and contact history. Serves as Embassy point person for all diplomatic notes. Reviews, coordinates, expedites and serves as reference for diplomatic notes. Records all incoming and outgoing dip notes. Archives all official mission wide records. Maintains the highest level of contacts to cultivate the crucial relationship between the Embassy and local government offices; manages the Executive Office representational budget; under the direction of the Senior Protocol Assistant, provides support for representational event management at the Ambassador's residence (CMR) and the DCM's residence (DCR); helps the Senior Protocol Assistant update the lists of diplomats accredited in Uzbekistan; helps distribute mail received for the Front Office (FO); works with the Senior Protocol Assistant in preparing representational gifts for official purposes, such as ordering gifting items, gift-wrapping items for presentation, distributing/mail-out gifts. On direction, assists with processing and accurately recording all official gratuities received by the Ambassador (or Chargé) and DCM in the CRM in a timely manner; serves as a back-up to the Senior Protocol Assistant. |

| Professional requirements | PRIOR WORK EXPERIENCE: One (1) year of administrative or secretarial experience with a protocol component in a local government office or an international organization is required. JOB KNOWLEDGE: Must have strong knowledge of Uzbek social customs. A good working knowledge of secretarial, clerical and general administrative procedures is required. SKILLS AND ABILITIES: Must be a strong team player with strong communication and customer service skills. Must pay attention to details, be capable of proof-reading of invitations and different type of outgoing official correspondence. The incumbent must be a very good time manager and know how to prioritize tasks. Strong PC skills: especially with the MS Office software suite and Internet. Must be proficient in Microsoft Office products such as Word, Excel, PowerPoint, Project, and other database software programs. Education Requirements: Two years of general college or university study is required. Language requirements: FLUENCY in Written/Speaking/Reading, including ability to translate, in ENGLISH and RUSSIAN/UZBEK is required. |
