Visit www.worldbank.org. The World Bank Uzbekistan Country Office supports a diverse portfolio of lending operations, advisory services, and analytical work. The Governance Global Practice (GP) works across all governance streams including public sector reform, institutions, accountability, and service delivery. The Team Assistant will support effective delivery of the work by the Procurement team under the Governance GP work program. Roles & Responsibilities: The Team Assistant will work under the primary supervision of the Division Director, Procurement Global Practice team, and in close coordination with task teams and Country Office administration. A. Administrative and Operational Support • Provide primary assistance in the implementation of the Procurement unit's work program, including task management, data management, coordination of learning activities, information technology, working with WB systems (STEP, Client Connection, Operational Portal), editorial assistance, etc. • Draft and format variety of correspondences, text, reports, figures, graphs, etc., according to standard Bank formats and distribution; process documents for signature, ensuring documents adhere to the World Bank's standards and guidelines. • Handle administrative and logistical arrangements for various events, e.g., missions, meetings, conferences, workshops, negotiation, and support mission activities which include preparation/updating of mission itineraries and briefing materials, coordination of meeting schedule, travel, and security arrangements. • Handle meetings logistics ranging from conference rooms booking, arranging Webex, catering, arranging security escort for the VP's visitors, and any additional tasks related to the meetings. • Arrange and manage travel schedules of the task team members and short-term consultants including flight/hotel reservations, visa requests, meeting arrangements, travel briefing book printing etc. • Support Procurement team in processing individual consultants and consultant firms' requests in compliance with the policy for the selection of consultants, onboard and handle logistical arrangements for the consultants. • Support with maintaining, retrieval, manipulating and presentation of project related data. • Maintain current distribution lists, phone/address lists of project/product contacts, and distributing documents for the team. • Performs other duties as required by the Division Director or Procurement team. B. Financial, Cash Custodian, and Operational Support • Act as Cash Custodian for the Country Office in accordance with WBG policies. • Maintain accurate cash records, logs, and reconciliations. • Support procurement and invoice tracking. C. Back-up Administrative Assistant • Serve as back-up to the Administrative Assistant (visa support, accreditation support, daily office management support). • Provide general office administrative support during absences or peak periods. D. Security Focal Point • Assist the Head of Office in managing emergency staff communications systems, including call trees and warden networks. • Assist in ensuring the availability of emergency supplies in the Country Office; (these functions may be performed by another staff member or work unit at the Head of Office's discretion) • Report staff or office-related security concerns to the Country Security Specialist and Head of Office. • With guidance and at the Country Security Specialist in the execution of semi-annual emergency drills (fire, evacuation, shelter-in-place, emergency communications), including the identification of floor wardens. • Serve as member of the Country Office Crisis Management Team • Assist in maintaining the Crisis Management Plan • Assist Head of Office and Corporate Security in coordination and administration of security arrangements for WBG Senior Management visits, depending on assessed risk. E. Travel Security: • At the discretion of the Head of Office and Country Security Specialist, assist in supporting field mission travel. • Monitor Travel Advisory for accuracy. F. Emergency Drills When the Country Security Specialist is Absent from Duty Station: • Report any observed deficiencies in security and life safety infrastructure to the Country Security Specialist (or Regional Senior Security Specialist) and Head of Office. For emergency deficiencies that cannot await the Country Security Specialist's return, raise immediately with the Country Security Specialist or Regional Senior Security Specialist, as appropriate, telephonically and document. • In time-sensitive cases, assist the Head of Office and Country Security Specialist in relaying information to/from landlord's representatives (including building security and engineering) on issues affecting the security of WBG-leased space and safety of WBG staff and visitors. |

| Professional requirements | Selection Criteria Attention: Preference will be given to local talent, that is, applicants who are authorized to work in the duty station for any employer. Internal applicants may apply per existing guidelines. • Bachelor's degree in related fields and at least 2 years of relevant working experience. • Ability to draft routine correspondence and edit materials in English, Uzbek and Russian using proper grammar, punctuation, and style. • Excellent knowledge of Microsoft Word, Excel, Outlook, and PowerPoint; Proficiency in latest technology relevant to assigned responsibilities. • Knowledge of and ability to execute business processes involving diverse and intricate work procedures related to the processing and production of assigned outputs in an accurate and timely manner. • Effective time management and organizational skills and ability to produce high quality work under pressure. • Demonstrated initiative and resourcefulness. • Committed team player with demonstrated inter-personal skills and ability to work effectively in a multi-cultural environment. • Ability to adapt to changing business needs by continuous learning/training.
