| Duties | SCOPE OF WORK The Administrative Assistant will be responsible for the following: a) Administrative and Operational Support ● Support preparation of Terms of Reference (ToRs), letters, and official documents; ● Provide administrative support to procurement activities within ExpLab (document preparation, filing, tracking deadlines); ● Support preparation of internal and external reports; ● Maintain organized documentation and filing systems; ● Track activity timelines and deliverables. b) Coordination and Communication ● Support coordination between NASP, SPLab, consultancy, and other stakeholders; ● Organize meetings, workshops, public lectures, and trainings; ● Prepare meeting agendas, minutes, and follow-up actions; ● Facilitate communication with government agencies and development partners. c) Event and Activity Support ● Organize logistics for public lectures, stakeholder consultations, roundtables, and trainings; ● Coordinate venue booking, participant registration, materials preparation, and follow-up communication; ● Support dissemination activities and outreach. d) Reporting and Documentation ● Assist in preparation of activity reports and summaries; ● Compile documentation required for project monitoring; ● Ensure compliance with project documentation standards. The Administrative Assistant provides administrative, logistical, and procedural support. Technical research tasks, data analysis, and analytical content development remain under the responsibility of the Research Assistant. IV. EXPECTED DELIVERABLES The Administrative Assistant will be expected to deliver the following outputs: ● Draft Terms of Reference (ToRs), official letters, meeting notes, and other administrative documents as required; ● Properly organized documentation and filing of project records (contracts, correspondence, reports, activity documentation); ● Logistical arrangements and documentation for meetings, workshops, public lectures, trainings, and stakeholder events; ● Activity summaries and brief reports following events and meetings; ● Well-organized and complete procurement and contracting files within Research (administrative documentation only); ● Compiled inputs for periodic project reporting; ● Updated tracking sheets for activities, timelines, and deliverables. All deliverables must be completed in a timely manner and in accordance with project procedures and quality standards. |

| Professional requirements | REQUIREMENTS TO ADMINISTRATIVE ASSISTANT EDUCATION: ● Bachelor's degree in Public Administration, Management, Economics, International Relations, or related field. EXPERIENCE AND SKILLS: ● At least 1 year of relevant administrative or project support experience; ● Experience working with government institutions or development projects is an asset; ● Strong organizational and time management skills; ● Experience supporting procurement and contracting processes is an advantage; ● Strong written communication skills; ● Proficiency in Microsoft Office (Word, Excel, PowerPoint); ● Ability to coordinate multiple stakeholders and manage logistics. LANGUAGE REQUIREMENTS: ● Fluency in Uzbek; ● Good working knowledge of English. |

| Additional information: | DURATION The initial contract duration is 18 months, with the possibility of extension subject to performance and project needs. The position is full-time and based in Tashkent, Uzbekistan. REPORTING The Administrative Assistant will report directly to the Research Lead/Research Manager of the Research Accelerator within SPLab (or designated supervisor). The Administrative Assistant will: ● Provide regular updates on administrative and coordination tasks; ● Maintain clear documentation of completed activities; ● Support preparation of materials required for internal and external reporting; ● Participate in coordination meetings as required; ● Submit a brief quarterly progress report summarizing activities performed and outputs delivered during each three-month period of the assignment. Performance will be evaluated based on timeliness, organizational quality, accuracy of documentation, responsiveness to project needs, and effective coordination with stakeholders. |
