Duties |
The Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) GmbH is looking for Project assistant to support GIZ Health Program with the following duties:
1. Technical project support Coordinating stakeholder meetings, workshops, seminars, trainings, visitor programmes and other events on local, national and international level: support with arranging confer-ence halls, catering, agenda and moderation, print PR and distribution materials, translators, transport and accommodation, registration of participants and other arising logistical tasks Procuring office materials or other small items following GIZ processes and rules Collecting documents related to contracts and local subsidies and submit to responsible person Assisting with partner communications through drafting/translating and verbal communica-tion Assisting with PR materials preparation and collection for the project like providing draft in-puts, preparing photos from events, collecting data Assisting with M&E, preparing data collection instruments (questionnaires, interview guide-lines, databases) Supporting planning, implementation, monitoring and reporting of project activities
2. Organizational, logistic and admin assistance tasks Organizing documentation, collecting, precheck, scanning, filing of vouchers, invoices, re-ceipts, accounting documentations, etc. Supporting in arranging and monitoring tickets for duty travel for project staff and partners, assisting in processing travel expense statements for approval, processing tickets Assisting project staff in organizing events, meetings, workshops and seminars (internal and external) Preparing and providing equipment etc. required for meetings in consultation with team Assisting in arranging accommodation, transfers for project staff, experts, visitors Ensuring visa support for project staff members and partners Assisting with the preparation of contracts with local experts, vendors (e.g. hotels, catering, consulting companies) within set value limits Maintaining the inventory list in the required software for the project in line with the GIZ regulations Assisting with the preparation of other administrative documentation Copying, scanning and filing financial documents
3. Other Duties/ Additional Tasks Keeping confidential information Interpretation and translation (written and verbal) Where appropriate and reasonable, the position holder performs other duties and tasks up-on the request of management |

Professional requirements |
• University degree (BSc/BA) in social and human sciences, economics, business administration, languages, international relations or other related fields • At least 3 years of overall professional experience (project support, processing the documentation. Communication with external/internal clients and state agencies, verbal and written translations, experience in international development project is an asset) • Very good knowledge, verbally and in writing, of the Russian and English languages. Uzbek is a strong asset • Good working knowledge of ITC technologies, related software, phone, email, and computer applications (e.g. MS Office) • Strong interpersonal skills and the ability to work effectively with a wide range of stake-holders in a diverse community • Highly organized and detail oriented, with ability to multi-task and deliver quality work • Good team player, ability to take initiative and work independently. |
