Duties The British Embassy in Tashkent, is seeking to recruit an Executive Assistant to the Ambassador / Residence Manager.

Main purpose of job:

As Executive Assistant to His Majesty's Ambassador (HMA), you are responsible for the effective and efficient functioning of HMA's office. This role requires strong communication and interpersonal skills to successfully engage with a variety of stakeholders, including senior government officials and business figures, as well as colleagues from across the whole of the Embassy. You will need a strong delivery focus to ensure that tasks are actioned quickly, and you will need to be able to prioritise workloads, as you will be responsible for managing the diary and correspondence with accuracy, consistency and discretion. You will also be responsible for managing visits by the Ambassador and you are required to provide support for senior and VIP visits too.

As the Residence Manager, you will oversee the day-to-day operations of the British Ambassador's Residence and provide line management, direction, and support for the Residence staff (Chef and Cleaner). You will also take the lead on the planning and delivery of official events held at the Residence. The role includes maintaining the wine cellar, including stock management and reconciliation, as well as handling procurement for events-related needs. You may also be asked to provide occasional cover for the Embassy Receptionist.

Roles and responsibilities

Executive Assistant to His Majesty's Ambassador (Approximate % of time 60%)

This is the largest single component of the job and involves diary management, organising travel/visit programmes and briefing for the Ambassador, and other executive assistant functions, in close coordination with other

Management of HMA's calendar, contacts with high-ranking visitors, arrangement of appointments and meetings;
Preparation of informal translations;
Management of HMA's business travels and representation schedule;
Coordination of briefing for HMA in advance of meetings, events or visits;
Maintenance of staff duty rosters for the whole Embassy;
Support for senior high-level visits and VIP visits;
Producing meeting minutes on behalf of the Ambassador and Deputy Ambassador:
Screen and log all incoming and outgoing correspondence to/from HMA's office;
Preparation of correspondence on behalf of HMA;
Provision of Executive Assistant support to the Deputy Ambassador as Chargé d'Affaires in the absence of HMA.
Provide occasional cover for the Embassy Receptionist
Residence Manager (Approximate % of time 35%)

Effective and supportive Residence management and line management of Residence staff (Chef and Cleaner)
To ensure the professional management of events at the Residence and to improve and maintain standards of accommodation and hospitality
To ensure that procurement on behalf of the Residence is properly coordinated between residence staff and the corporate services team.
Line manage and provide support and development for Residence staff (Chef and Cleaner)
Handle procurement for event-related items.
Maintain the official wine cellar, including inventory and reconciliation.
Keep an accurate inventory of government-owned valuables (e.g. Government Art Collection, crested cutlery).
Like all members of British Embassy Tashkent, the jobholder would be expected to use around 5% of their time in a corporate role in support of the whole Embassy.

Professional requirements Essential on arrival:

Effective communication, including written and spoken fluency in English, Russian and Uzbek and ability to adapt communication style to different situation (minimum C1 level for CEFR framework *);
Holding a BA / graduate degree;
Experience (minimum 2 years) in office administration or similar role;
Good interpersonal skills;
Willingness to take initiative, flexible, responsible and reliable team player;
Willingness and desire for continual learning and development;
Ability and willingness to work effectively and flexibly;
A self-starter that can work well both individually and in a team;
Excellent organisational skills;
IT skills, including use of MS Word, Excel, PowerPoint and Outlook.

Desirable:

Previous experience in managing teams/staff;
Previous experience of working with diplomatic mission or international organisation.

Extra motivation This is a full-time, permanent contract for 35 working hours net per week.

The successful candidate will be subject to professional background checks and security clearance.

Working patterns: This is a full-time position however the British Embassy Tashkent supports flexible working and would be able to consider flexi-hours (eg early start and early finish each working day) or compressed hours (eg working 10 days in 9).
