Duties The Junior Administrative Professional for "Ecosystem based Land Use and Ecosystems Conservation along the Lower reaches of Amudarya" project is responsible for:

assisting the project manager in her administrative tasks;
translation and consecutive interpretation for the project manager and international consultants from Uzbek and Russian into English and vice versa;
drafting and maintaining correspondence of the programme with national and international partners;
filing documents in reference files or in DMS in line with GIZ filing rules.
Supporting the financial management of the project

The Junior Administrative Professional performs the following tasks:

1. Coordination

ensures that information is exchanged between project staff, partners and other institutions
accompanies the project manager or other team members to meetings if necessary
prepares and organises internal meetings
organises and coordinates appointments for the project manager;
supports the project's coordination with the country office administrative staff

2. Administrative work

provides written and oral translation from Uzbek and Russian into English and vice versa;
initiates and follows up on procurement procedures with the GIZ country office as well as HQ in Germany
prepares contracts for local consultants and local subsidies and follows up on them
creates and maintains an address file with important contact addresses;
answers, reviews, forwards and/or takes calls;
manages incoming and outgoing correspondence (post, fax, email) and prioritises and organises it;
files documents in reference files or in DMS in line with GIZ's filing rules;
prepares and maintains office inventory
reports damage in office furnishing and equipment to the project manager and organizes maintenance and repair
helps organise events and document meetings, workshops and seminars;
helps prepare visitor programmes for international experts working within the project, supports the visa process for international experts, draws up travel schedules, organises transport of visitors and makes hotel and ticket reservations;
participates in external meetings and workshops and assists with documenting these, e.g. by writing minutes.

3. Finance and accounting

helps the project manager monitoring expenses in accordance with the budget and liaises with the GIZ country office finance department
checks travel expense statements of staff for approval by the superior
assists in preparing project audits

4. Other duties/additional tasks

performs other duties and tasks at the request of management

Professional requirements Qualifications
Certificate/diploma or similar qualification from a recognised clerical college

Professional experience
at least 3 years of professional experience in the field of administrative assistance, finance support and translation

Other knowledge, additional competences
ability to express oneself well both verbally and in writing in English, Uzbek and Russian; German is an asset.
polished, target-group oriented style;
very good working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office)
strong interpersonal skills and the ability to work effectively with a wide range of constituencies in a diverse community
customer and service-oriented attitude
ability to adapt easily to new situations and to work under stress
willingness to upskill as required by the tasks to be performed corresponding measures are agreed with management
